Stop adding up time cards every pay period

This calculator only knows what you type in. In InShift, hours come straight from the published schedule and the time clock, so when the pay period ends, the whole team’s hours are already totaled and ready to export. Free for one location and up to 10 people; larger teams pay per person.

Your whole team’s hours, straight from the schedule and the time clock

This calculator totals one time card that you type in by hand. In InShift, hours come straight from the shifts you publish. Turn on “Time tracking” and the clock-ins show up right alongside them: “Payroll” lists “Scheduled” and “Checked in” side by side for every employee, with the rate, premiums and total for the pay period.

  • Employees clock in with the InShift app by scanning a code on a tablet by the door, or by entering a staff number and PIN on the same tablet
  • Overtime is a rule on the “Premiums” tab: hours past a set number per day, paid at a multiplier you choose
  • Pay each person “Per hour”, “Per shift” or “Monthly salary”
  • “Export to Excel” for whoever runs payroll
The timesheet app: hours from shifts and clock-ins

How to calculate hours worked, step by step

Here’s the math behind any hours calculator, worked out by hand for a single day:

  1. Write down the time in and time out, say 8:45 AM and 5:30 PM.
  2. Count the time between them: 8:45 AM to 5:30 PM is 8 hours 45 minutes. For a shift that runs past midnight, count up to midnight and add the rest: 10:00 PM to 6:30 AM is 2 hours plus 6 hours 30 minutes.
  3. Subtract the unpaid lunch: 8 hours 45 minutes minus 30 minutes is 8 hours 15 minutes.
  4. Convert the minutes to a decimal by dividing by 60. 15 minutes is 0.25, so the day comes to 8.25 hours.
  5. Add up the days of the week. Any hours past your overtime threshold are overtime.
  6. Multiply by the hourly rate: 8.25 hours at $18.00 is $148.50. Overtime hours are paid at the rate times the overtime multiplier: $18.00 × 1.5 is $27.00 an hour.

The calculator does all of this for the whole week at once. Each day shows the paid hours, and when lunch is deducted, the total with lunch right underneath.

How to convert minutes to decimal hours

Payroll multiplies decimal hours by the rate, and that’s where most handwritten time cards go wrong. Eight hours and thirty minutes is 8.50 hours. Enter it in payroll as 8.30 and the paycheck comes up 12 minutes short. The calculator shows both for every day and for the week: 8:30 in hours and minutes, 8.50 as a decimal. For any other number of minutes, divide by 60 or use the table.

Time card calculator with lunch breaks

Each day has a lunch field in minutes, and whatever you enter is deducted from that day’s hours. Took a 30-minute lunch and a 15-minute unpaid break? Enter 45. If your breaks are paid, leave it at 0 and the day counts from time in to time out.

Leave both times blank for a day off. A day with only a time in also counts as zero, so a missed punch can’t add phantom hours.

Weekly overtime and biweekly time cards

Overtime kicks in after the number of hours in “Overtime after”. The default is 40 a week, which is how many US employers count it. Change it to match your workplace, or clear it to see straight time. “Overtime pay rate” defaults to 1.5, time and a half; set it to whatever your workplace pays.

Switch to Biweekly for a two-week pay period. Overtime is figured for each week separately and then added up, so 45 hours in week 1 and 35 in week 2 means 5 hours of overtime for the pay period, even though the total is exactly 80.

Hours calculator, work hours calculator, time card calculator: same math

Hours worked calculator, payroll hours calculator, timesheet calculator: the names change, the math stays the same. Time in and out, minus lunch, hours per day, a weekly total, then overtime and pay. This page uses US formats: weeks start on Sunday, times are 12-hour with AM and PM, dates read Oct 26, and pay is in dollars. For a UK-style timesheet with contracted hours, use the timesheet calculator.

A time card records the hours one employee actually worked; a schedule is the plan for the whole team. Our work schedule templates include both, with a weekly Excel time card that has lunch punches and signature lines.

Print it, copy it, keep it

“Print or save as PDF” prints the time card with its totals, or saves it as a PDF from the print dialog. “Copy time card” copies it as a table you can paste into an email, Excel or Google Sheets.

Your time card is saved in this browser, so next week you just change the start date. No account, nothing uploaded. For a whole team, the InShift time clock records clock-ins from employees’ phones, and the timesheet app totals them for each person.

Frequently asked questions

How do I calculate hours worked with a lunch break?+

Count the time from time in to time out, then subtract the unpaid lunch. 8:00 AM to 4:30 PM is 8 hours 30 minutes; with a 30-minute lunch, that’s 8 hours worked. Enter each day’s lunch in minutes and the calculator handles the whole week.

How do I convert minutes to decimal hours?+

Divide the minutes by 60. 15 minutes is 0.25, 30 minutes is 0.50 and 45 minutes is 0.75, so 7 hours 45 minutes is 7.75 hours. The calculator shows decimal hours for every day and for the week.

Does it handle overnight shifts?+

Yes. Just enter the times, for example 10:00 PM and 6:30 AM. When the time out is earlier than the time in, the calculator treats the shift as running past midnight: 8 hours 30 minutes, minus any lunch.

How is overtime calculated?+

By the week. Every hour past the number in “Overtime after” is overtime, paid at the hourly rate times the “Overtime pay rate”. You set both; the defaults are 40 hours and 1.5. On a biweekly time card, each week is counted separately.

Does it round to the nearest quarter hour?+

No, it counts exact minutes. If your workplace rounds punches, enter the rounded times and the totals will match.

Can I use it for a biweekly pay period?+

Yes. Switch to “Biweekly” and the time card expands to two weeks starting on the same Sunday, with totals for each week and for the whole pay period.

Is my time card private?+

It’s saved only in your browser. No account, no email, no upload, so we never see it. On another device, the calculator starts fresh.

Is there a version for a whole team?+

That’s InShift. Hours come from the published schedule, employees clock in with the app at a tablet by the door, and “Payroll” shows everyone’s scheduled and clocked hours, with export to Excel. Free for one location and up to 10 people; larger teams pay per person.
