This page works out one person for one month. In InShift the rate and premiums are set once, everyone’s hours sit next to their name in “Planner”, and “Payroll” builds the period from the rota, person by person, with a total at the bottom.

How the hours are worked out

A day is finish minus start minus break. The break is treated as unpaid, so 09:00 to 18:00 with an hour for lunch comes to eight paid hours rather than nine. Next to the result you can see the time actually spent on site, so both numbers are in front of you. If your break is paid, set it to zero and the day counts end to end.

A night shift counts forwards, not backwards. Start 20:00, finish 08:00 gives twelve hours, because the calculator knows the shift crossed midnight. Add as many days as you need with the Add a day button, which copies the previous day's times to the next date.

Overtime against your contracted hours

The hours field starts at 40, and it is worth changing it to whatever your contract actually says. In the UK full time is more often 37.5 hours than 40 once the unpaid lunch is taken out, and part-time contracts are anything at all. Whatever you put in, everything above it is highlighted as time over the contracted hours.

The field is not tied to a week. For a fortnightly or a monthly timesheet, enter the hours for that whole period and add the days to match. Clear the field entirely and the comparison disappears, leaving a plain total.

What extra hours are worth is another matter, and this page does not guess at it. There is no statutory overtime premium in the UK, so time and a half, double time or plain rate all come down to the contract. The pay shown here is hours at the rate you entered, with nothing added on top.

Timesheet, time card or time sheet

Different names, one calculation. Time card is the usual American term, timesheet the British one, and a clock in and clock out sheet is the same thing again. Weekly, fortnightly, biweekly or monthly makes no difference either: add the days you worked and the total covers whatever period you have listed.

In the US, it’s called a time card, and our time card calculator uses a Sunday-to-Saturday week, AM/PM times, weekly overtime and dollars.

What to do with the result

Download .csv gives you a table of days, times, breaks and hours that opens in Excel and Google Sheets, ready to attach to a timesheet or send to whoever runs the payroll. Printing does the same on paper: the input boxes disappear and a clean table with the total is left. The print dialogue also saves it as a PDF.

The table stays in your browser between visits, so next week you can change the dates rather than start again. We never see it, and it is never sent anywhere.

Frequently asked questions

Does it take the lunch break off the hours?+

Yes, by default, because an unpaid break is the common case. Enter the break in minutes and it comes off the total for that day. If your break is paid, set it to zero and the day is counted from start to finish.

How do I work out a shift that crosses midnight?+

Type the times as they are, for example 22:00 and 06:00. The calculator sees a finish earlier than the start and counts the shift forwards through midnight, giving eight hours instead of an error.

Can I do a fortnightly or monthly timesheet?+

Yes. Add as many days as you need, each with its own date and times, and set the hours field to the contracted hours for that whole period. There is no limit on the number of days.

Does it work out overtime pay?+

It shows the hours above the figure you set as contracted, which is the number an overtime claim is built on. It does not apply a multiplier, because there is no statutory overtime rate in the UK and the uplift, if there is one, is written into your contract.

Does it calculate holiday pay?+

No. Holiday entitlement for irregular hours accrues as a percentage of the hours worked, and the rules change often enough that a number baked into a page would go stale. Use the total hours here as the input, and check the current rate on gov.uk.

Is my timesheet private?+

It stays in your browser. There is no account, no email and no upload, so we never see it. The trade-off is that it lives on this device only: on another computer the table will be empty.

Is there a version that counts hours for a whole team?+
