You can run training from your phone: put a newcomer into training, see who trains whom, and move a person to staff from the right day and time. The screen is there for the owner, the co-owner and everyone whose role has the “Training” right. The “Training” module must be on.
Trainee pay, the mentor bonus and “Who manages training” are set in the admin panel, see Training: trainees and mentors.
Where to find it
“More” → “Training”. At the top “In training” with the number of people and the “Add trainee” button, below them “Needs attention” and the list of trainees. Each row has the name, position, since when, how many days and shifts, for example “Barista · since 26 Sep · 5 days · 3 shifts”, then “Trained by: Olena, Petro” and the “Move to staff” button. Tap the name to open the person’s profile.
If you mentor someone yourself, your mentor card with the list “When you mentor” is below.
Step by step: a new person as a trainee
- “More” → “Training” → “Add trainee” → “New person”.
- The “Add employee” form opens with “Trainee” already on. Under the switch you see the pay: “Trainee pay: 500 ₴ per shift” or, in red, “Trainee pay for this position is not set: shifts will be unpriced”.
- Fill in the name, location and position and tap “Add employee”. After saving the app takes you back to “Training”.
Step by step: a team member becomes a trainee
- “More” → “Training” → “Add trainee” → “From the team”.
- Find the person in “Search by name” and tap them. The list has only those you can mark.
- Read what will change: “A staff member becomes a trainee from the start of today: trainee pay applies, shifts need a mentor, their requests and swaps close.” Tap “Make trainee”.
Step by step: move to staff
- Tap “Move to staff” in the trainee’s row.
- Choose “From date” and “Time”. By default it is now.
- Under the fields you see what will change: pay after the move, how many shifts become staff shifts backdated and which mentors lose their bonus.
- Tap “Move to staff” if the moment has already come, or “Schedule” if it is in the future. A scheduled move shows in the row: “To staff from 2 Oct 08:00 · Cancel”.
A mentor in the planner
When you give a trainee a shift in “Planner”, a “Mentor” step appears after you choose the person: pick someone who is on shift at this location, or “No mentor”.
To change the mentor in a shift that is already there, tap the cap icon “Change mentor” next to the trainee’s shift in “Planner”. Above the list you see who mentors now: “Mentored now by: Olena 10:00 - 18:00” or “No mentor now”. If the shift is split by hours between several mentors, the app warns: “This shift is split by hours between several mentors: picking here sets one mentor for the whole shift. Split by hours in the admin panel.”
If you edit or delete a shift or approve a swap and the trainee would be left without a mentor, the window “A trainee will be left without a mentor” appears before saving. “Cancel” changes nothing, “Change anyway” saves, and you set the mentor later.
Why an action is unavailable
No “Training” under “More”: the module is off (the owner or a co-owner turns it on in the admin panel: “Settings” → “Modules”), or your role has no “Training” right and you are neither a trainee nor mentoring anyone right now. The owner and co-owner always see the item when the module is on. The owner grants the right in the admin panel: “Training” → “Settings” → “Who manages training”.
The module is on, you are the owner or have the right, and there is still no “Training” item: the app has not updated yet. Close it completely and open it again: the update downloads in the background and applies from the next launch.
No “New person”, the team list opens right away: your role has no “Manage employees”. You can still make a team member a trainee.
“From the team” says “There is nobody on the team you can make a trainee”: the list has only people your “Training” right covers (“My locations” or “Entire network”), whose role is below yours and who are not trainees yet.
No “Move to staff” button in a row: the person is not from your locations, or their role is equal to or above yours.
The “Team” form has no “Trainee” switch for an existing person: in the app the mark is set through “From the team” and removed with “Move to staff”.
No “Change mentor” icon: you edit only your own shifts (“Own”) or do not edit this location’s rota.

Can I set trainee pay from the phone?
No. Trainee pay and the mentor bonus are set in the admin panel: “Training” → “Settings”.
I didn’t move the person to staff yesterday. What now?
Tap “Move to staff” and choose yesterday’s day and time. Shifts from that moment are recounted as staff shifts.
Who sees this screen?
The owner, the co-owner and those whose role has the “Training” right. A trainee and a mentor see only their own shifts here.
How do I cancel a scheduled move?
Tap “Cancel” in the “To staff from …” line. The person stays a trainee.
